Are your computer files secure, organised and easy to find?

Data storage products are a critical component of the IT infrastructure of any business. But they need to be configured in a way that gives you positive benefits, rather than just being an undifferentiated repository of difficult to get at data.

These products are essentially a means of storing data that can be securely accessed from other computers on a network, and can be anything from resources available on a new or existing File Server, to a dedicated NAS device (NAS = Network Attached Storage).

Storing all important data on network shares provides the following benefits:

  • Business-related information is stored in a centralised location, which enables users to access data from multiple locations. A file server will usually have a better hardware configuration in terms of things like redundancy (e.g. using a multi-drive RAID array to preserve data integrity) and dual power supplies to provide reliable, uninterrupted access to data for users.
  • Centralisation of data eases management burdens by providing fewer numbers of data locations that need to be backed up, instead of a large number of client computers containing spuriously located files.
  • Securing critical data becomes easier and provides greater access control over data management because data is not spread across multiple locations/devices on the network.
  • The cost of providing reliable storage is reduced. This is because consistently available storage is required only on the devices that host the network shares.
  • Storing certain system folders on network shares provides additional benefits. For example, storing the ‘My Documents’ and ‘Roaming Profiles’ folders on a network share may enable users to access their personal folders and log on with their familiar profiles respectively, from any computer on the network.
